Please read our booking terms and conditions carefully before making your booking. By using this site and proceeding to make a booking with us, you are confirming that you have read the Terms and agree to be bound by them.
The Pilates Gymnasium may change these terms and conditions from time to time. Using our web site confirms you are bound by the current terms and conditions. You should check these each time you visit our site. These terms and conditions form the entire understanding between the parties.
The information available on this site or at any Pilates Gymnasium studio does not constitute medical advice. It is the client’s responsibility to obtain appropriate medical advice and to ensure that our services are appropriate for them.
Teachers cannot accept liability for personal injury related to participation in a session if i) your doctor has advised you against exercise on medical grounds ii) you fail to observe instructions or safety techniques iii) is caused by the negligence of another participant in the studio iv) you fail to disclose any new medical conditions or injuries at the start of the session.
Clients are also responsible for ensuring they supply correct personal information. We cannot be liable for incorrect information provided by clients.
Length of Contract
In the instance of an Assessment session or a 1:1 the contract period between Pilates Gymnasium Ltd and the client is limited to the length of that sole session; the client remits only for the cost of that session and has no liability for any extended period.
Where a block of sessions has been booked, the booking is made between Pilates Gymnasium Ltd and the client for a period of one session for an agreed number of sessions with an agreed period in which to take the pre paid sessions. Once this period of an agreed number of consecutive sessions has expired there is no longer a contract in place between the client and Pilates Gymnasium Ltd.
Where the client signs to a membership scheme, the booking is made between Pilates Gymnasium Ltd and the client for an unlimited period until the client gives notice of their termination of contract or Pilates Gymnasium Ltd terminates the contract. Membership contracts run from the 1st of the month until the last day of the month.
1 month Anytime memberships run for one calendar month unless renewed. Annual Anytime memberships run for 12 calendar months unless renewed.
Payment for Sessions
Payment for an Assessment session or 1:1 will be made prior to the session by credit/debit card. Once payment has been made no refunds will be available for the service to the client. The session may be transferred to an alternative day with 24hrs or more notice. Within 24 hours the session is non transferrable or refundable.
Payment for a block of sessions will be made in advance of the first session, once payment has been made, no refunds will be available. Block sessions must be used before their expiry period.
Monthly memberships run from the 1st day of the month until the last day of the month payments are due on the 10th of each month and will be taken from the client’s bank account automatically. The payments will be in advance for membership and in retrospect for additional charges. An invoice will only be produced on request.
Prices are subject to change at any time by us before we accept your booking.
In the event of a genuine website error or inaccuracy, we reserve the right to cancel all confirmed class bookings. In the event or such cancellation our only liability to you shall be to transfer you to a class at an alternative date and time.
Bookings for all sessions must be made via the online timetable on our web site or via our mobile App. All sessions are subject to availability and we do not guarantee availability of a session at any time. Your booking of a session is not complete until you receive a booking confirmation from us. Please make sure you have received a booking confirmation before you attend the session. If you arrive at the studio and are not registered as having made a booking you may be unable to attend the session. If you do not receive a booking confirmation please contact us by email at email@example.com.
Bookings can be made up to 4 hours before the start of the session to enable our teachers to effectively plan for the clients attending. Sessions in each studio are limited to 1 per day. Full Powmak Anytime members may book 1 full session in the reformer studio and 1 full session in the Hilo studio per day subject to availability.
POWMAX 5 and HiLO 5 members have access to 5 sessions per calendar month. Bookings for the month can only be made on or after the 1st of the month. Sessions not used in a month are not transferable to another month.
We operate a waitlist. If you book a waitlist space you will receive an email confirmation if space becomes available. Do not attend the session if you have not received confirmation. If you are unable to attend a wait list session please email us on firstname.lastname@example.org.
If you turn up without a confirmed booking, you will only be able to attend the session at the discretion of our teachers. Their decision will be influenced by the training plan for that session. Please respect their decision.
If we cancel your Booking
In the event that Pilates Gymnasium Ltd cancel a session that the client has booked, the client will be contacted by email or telephone and offered the choice of either (a) being re-credited with the price of the session for 1:1’s or block sessions or (b) being transferred to a session at an alternative date and time.
Out of consideration for other clients and our teachers please arrive 5 minutes before the start of the session. If you are late, please make yourself known to the teacher and wait for the teacher to show you your place.
Changing or Cancelling your Booking and No Shows
The Pilates Gymnasium Ltd booking system operates a 24 hour notice of cancellation, otherwise full payment will be due (or deducted from pre-paid sessions), or for those on a membership scheme a no show fee will automatically be added to your Direct Debit. No show fees are £8 in the reformer studio and £4 in the Hilo studio. Late cancelled sessions cannot be given to other clients.
The client may change the date and time of their booking at any time as long as it is 24 hours or more before the date and time of the session booked. To change the session, the client must do so either online through our web site booking system or using our booking app. There is no additional charge for this service. Changes are subject to availability of sessions, and we cannot guarantee availability at any time.
Cancellation of Monthly Membership
In order to terminate your membership you must give a months’ notice by the end of the month by email to email@example.com for termination to take effect on the last day of the following month. Pilates Gymnasium Ltd retains the right to terminate a contract at any time due to breach of rules by a client, the client will be liable to fulfil their contracted payments under such circumstances unless otherwise stated by Pilates Gymnasium Ltd.
Suspension of Membership
Suspensions to monthly or annual memberships cannot be made.
Health and Suitability
All new clients must complete a PARQ prior to attending their first session. Clients are responsible for notifying the studio of any changes in their health or medical conditions. Changes should be notified by emailing firstname.lastname@example.org Client health records are available to teachers, but clients accept full responsibility for carrying out exercises under the guidance of our teachers.
Clients must follow teachers Health & Safety instructions when using equipment in the studio.
Block Session Refund Policy
There are no refunds of sessions missed and making up the sessions elsewhere is at the sole discretion of Pilates Gymnasium Ltd. Where a block of sessions has been booked and the client fails to make payment or changes their mind, payment in full will still be due.
In the Studio
Suitable clothing for exercise must be worn. This should not be restrictive or too baggy and no riveted/studded clothing is to be worn. Long hair should be tied back.
Outdoor shoes should be stored in the shoe lockers and Non slip Toe Sox must be worn in the Reformer Studio and indoor trainers and gloves in POWMIX classes.
Mobile phones should be switched off and personal items stored in the changing rooms. Valuables should not be bought into the studio.
Food and drink, including chewing gum should not be consumed in the studio. Water bottles (not cups) may be used in the studio.
The Pilates Gymnasium use social media to promote their services and clients agree to photo’s being taken in the studio for use on professional social media channels.
The Pilates Gymnasium in Windsor is a teacher training studio and our experienced teachers are on occasions supported or observed by student teachers.
We will use your personal details and information to provide you with use of our services and facilities, to administer and maintain your membership records, to process your application and payments, to verify your identity and to carry out market research. We may share your information with other third parties to comply with our legal or regulatory responsibilities, for the prevention of fraud or other crimes and in the case of medical emergencies. If your personal details change please let us know by contacting email@example.com Client photo’s are stored on our records for identification purposes only.
Damage to your Computer
Pilates Gymnasium Ltd makes every effort to ensure that our website is free from viruses or defects. However, we cannot guarantee that your use of this website or any websites accessible through it won’t cause damage to your computer. Pilates Gymnasium Ltd shall not be liable to any person for any loss or damage which may arise to computer equipment as a result of using our website or on any website associated with it.

We shall not be liable to you or deemed to be in breech of these Terms by reason of any delay in performing or any failure to perform any of our obligations in relation to these terms, if the delay or failure was due to any cause beyond our reasonable control, including, but not limited to Acts of God, explosion, flood, tempest, fire or accident, war or threat of war, riot, sabotage, insurrection, civil disturbance, regulations, by-laws, prohibitions or measures of any kind on the part of any government, parliamentary or local authority, strikes, lockouts or other industrial action or trade disputes (whether involving our employees or those of any third party), IT viruses, difficulties in obtaining raw materials, labour, fuel, parts or machinery, power failure or breakdown in machinery.
No delay or failure by either party to exercise any of its powers, rights or remedies under these terms will operate as a waiver of them, nor will any single or partial exercise of any such powers, rights or remedies preclude any other or further exercise of them. Any waiver to be effective must be in writing.
If any part of these terms is found by a court of competent jurisdiction or other competent authority to be invalid, unlawful or unenforceable then such part will be severed from these terms, the remainder of which will continue to be valid and enforceable to the fullest extent permitted by law.
These terms constitute the entire agreement between parties and shall have effect to the exclusion of any other memorandum, agreement, or understanding of any kind, whether written or oral, between parties hereto and touching and concerning their subject matter.
Governing Law and Jurisdiction
These terms shall be governed by and construed in accordance with English law and the parties hereby agree to submit to the exclusive jurisdiction of the English courts.
We may connect the information that we collect through cookies with other personal information that you provide to us. Here’s why we’ll do this:
We may compile and report to third parties (such as advertisers) aggregate statistics about our users in terms of numbers, traffic patterns and related site information. However we will never pass on your identity or any specific information about you personally to a third party.
